POSTFIN Customer Service Policy – Comprehensive Version

WhatsApp & Communication Policy

  • No Orders via WhatsApp: To ensure financial transparency and order accuracy, no orders or service requests will be accepted or processed via WhatsApp. All services must be initiated and paid for in-store.
  • Purpose of WhatsApp: WhatsApp is strictly used for document transfers (printing/scanning) and general service inquiries.
  • Communication Methods: We use computer-based WhatsApp. Voice calls and video notes are disabled and will not be answered.
  • Direct Contact: For immediate assistance, call 072 678 8477. Text inquiries may also be sent via WhatsApp.
  • Privacy & Data Management:
    • Disappearing Messages: 7-day disappearing messages are enabled. Customers must save important information before expiry.

Fees and Payment

  • Computer Use: Charged per hour regardless of actual usage time.
  • Downloads: Heavy downloads and movies are strictly prohibited.
  • ID Copies: Both sides of ID cards and driver's licenses are copied unless instructed otherwise.
  • Emails: Receiving emails from third parties incurs a fee. Emails sent for printing purposes are not charged.
  • Undelivered Emails: No refunds for customer errors. Two correction attempts are free; additional corrections incur a fee.

Copies and Printing

  • Originals: Customers must ensure originals are clear. Unclear copies will not be refunded or redone.
  • Typed Documents: Customers must proofread before printing. Reprints due to typing errors cost R3.00 per page.
  • Page Selection: Customers must clearly indicate pages to print. Entire documents printed without instruction must be fully paid for.
  • Business Typing: Documents with business headings or letterheads are charged as business typing.
  • Print Documents: Colour documents and colour pictures are separate products. Posters are treated as pictures.
  • Pictures: Maximum 4 pictures per A4 page. Customers must supply images. Assistance finding images incurs a fee.
  • Bookbinding: Pricing based on page ranges: 1–50, 51–100, and 105–350 pages.

Certification and Verification

  • Certified Copies: Certification only done when original documents are presented.
  • Electronic Documents: Original email verification may be required for official documents.

Editing and Documents

  • Editing Fees: Minor edits are charged per page. Extensive edits are treated as typing services.
  • Editable Documents: Only editable Word documents can be modified. Converted PDFs may lose formatting. Scanned PDFs may incur higher costs.

Other Policies

  • Falsifying Documents: Altering official documents without authorization is strictly prohibited.
  • CV Storage and Editing: POSTFIN securely stores customer CVs online. Editing and reprints follow the editing policy.
  • Refunds: No refunds for any reason.

Additional Notes

  • Some decisions may be determined at POSTFIN staff discretion.
  • Customers are responsible for providing clear originals and proofreading documents.
